About the Role

The Rental & Scheduling Manager position offers the opportunity to help build on the aspirations of our current strategic plan: to be a nationally recognized dance organization, creating a sustainable home for artistic excellence and providing diverse programming for Philadelphia audiences. We are seeking a candidate who has a strong desire to see the Philadelphia dance community grow in both output and support. The Rental & Scheduling Manager has the opportunity to build relationships with the local dance artists and is an important representative of the Performance Garage in all interactions. Reporting directly to the Managing Director, the Rental & Scheduling Manager works together with our Executive, Development, Finance and Marketing Directors as well as our Facility, FOH/Box-Office and Production Managers. This is, currently, a part-time position requiring approximately (24) hours per week or approximately (96) hours per month of work. Work will be both in-person and remote. This will include, but not limited to, attending Tuesday in-person staff meetings, Zoom-based board meetings, and rental and programming meetings and events/activities at the Performance Garage. Any required additional hours required, pending written supervisor approval, will be paid at an hourly rate.

The Rental & Scheduling Manager is responsible for renting two active dance studios for rehearsals, classes, as well as full production rentals and other events. Additionally, the Rental & Scheduling Manager serves as lead coordinator supporting internal Performance Garage programming such as HubChats, DanceFilms, YouthMoves and DanceVisions.

● Manages already established online rental calendars for easy and efficient scheduling
● Assists in determining rental costs and facilitating estimates, invoicing, contracts, and
payments
● Meets with all renters and maintains an ongoing dialogue to make sure they have everything
necessitated for a successful rental experience
● Communicates/liaisons/collaborates with Production Manager and Custodial team to present the best possible setting for renters and the public including overseeing and scheduling of all ongoing and one-time maintenance, up-keep, and cleaning
● Keeps records on all space requests and activities, prepares attendance and demographic reports and evaluates data to plan for future rental efficiencies
● Explore, develop, and initiate new and additional forms of rental revenue

Administrative tasks include phone and email monitoring and response to provide a high level of customer service to current and potential clients and to the general-public. Attends weekly, in-person, staff meetings with the Executive, Managing, Development, Marketing, Financial, and Production department heads to review assignments and to report on weekly progress. The Rental & Scheduling Manager records and archives minutes of all staff meetings. Personnel management duties include interviewing and hiring front of house and box-office managers and interns, as needed, as well as overseeing and managing their assignments.

Compensation: $35,000-$40,000 annual salary plus health care stipend


The optimum candidate will possess the following:


●  An enthusiasm for and knowledge of dance and/or other performing arts

●  Bachelor degree or equivalent

●  Minimum 2 years of experience in marketing, rental and/or production related fields

●  Excellent written and verbal communication skills, and a demonstrated ability to write clearly and persuasively

●  Excellent project management & analytical skills

●  Ability to attend to numerous projects concurrently and prioritize accordingly

●  Proficiency in Google Office Suite, Adobe Suite, social media outlets and Eventbrite (or similarcloud-based ticket sale applications)

About the Company

Performance Garage, a non-profit dance center and theater, is in its 22nd year of serving the Philadelphia dance community whose mission is to create an environment that nurtures dance artists and facilitates the building of a broader audience for dance in Philadelphia. In 2020, the Performance Garage completed a $2 million renovation in two phases over the course of five years. As an incubator and hub for local dance talent, the Performance Garage offers subsidized rental rates for artists to host their classes, workshops, rehearsals, and performances, as well as conduct a free youth dance program and a resident artist program, seven days a week, serving 20,000 people annually as participants and audience. Aside from our robust community of subsidized studio and theater renters (DanceSpace), our additional programs include HubChats (community discussions on topics central to dancers and dance-makers), DanceFilms, (showings of relevant dance related films), YouthMoves (free youth-engagement classes), and DanceVisions (one Resident Artist chosen through a juried process, who creates new work and integrates across our existing programs with a culminating concert season).
